Application: Mail Desktop version

Server Type field: View the type of server to which the account is connected.

Server Name field: Enter the address or network name of the server to which the application connects when it receives messages for your account. The server name is provided by your mail provider.

Port field: enter the port of the server to connect to. The port number is provided by your mail provider.

User Name field: enter a user name to receive new messages. The user name is provided by your mail provider.

Security Settings

Connection security list: select the type of connection protection:

None: the connection is not encrypted.

STARTTLS (recommended when possible): the connection is encrypted.

SSL/TLS: the connection is initiated as unencrypted, but an attempt is made to create a secure connection if the server supports it.

Authentication method list: select an authentication method. These methods are used to verify that you are the owner of the account you are trying to access. Your account provider determines which authentication method to use.

Server Settings

Check for new messages at startup checkbox: enable checking the account for new messages when the application starts.

Check for new messages every <N> minutes checkbox: enable and customize the period to check for new messages automatically at a selected interval.

Allow immediate server notifications when new messages arrive checkbox: (IMAP accounts only) with this setting, the application will use the IMAP IDLE command, allowing you to receive new messages as soon as they arrive at the server, without having to check the server for new messages.

When I delete a message options: (IMAP accounts only) by default, when you delete a message, the application moves it to the Trash folder for that account. You can change this behavior here:

Move it to this folder: instead of moving the message to the Deleted folder, use this menu to select a different folder to move messages to.

Just mark it as deleted: using this option will keep the deleted message in the original folder, but it will be crossed out with a line to show you that it has been marked as deleted. To clear the folder of deleted messages, right-click on the folder and select Compress.

Remove it immediately: select this option to delete messages without moving them to any folder.

Advanced button: configure additional IMAP server settings that are rarely changed:

IMAP server directory: if the IMAP folders are in a different location from the default location, fill in the correct location in this field.

Show only subscribed folders: When using IMAP accounts, folders are contained on the server. In cases where the server contains folders for other functions, such as notes, there is a folder for that function. By default, the application shows only the folders to which you are subscribed. Disabling this option causes the application to display all folders that are on the server. To select which folders you will see, right-click an account in the Folder Pane and select Subscribe.

Server supports folders that contain sub-folders and messages: use this option if folders on your server are located in other folders.

Maximum number of server connections to cache: Most servers support multiple connections. If you have a problem with connections to the server dropping, try reducing this number.

These preferences specify the namespaces on your IMAP server: for example, only you can access your inbox, but there may be a folder that other users can access. Personal namespace defines directories that only you can access. Public (shared) defines which directories are available to everyone. Using the Other Users option allows you to define other users.

Allow server to override these namespaces: enabling this option allows the server to define your namespaces.

Message Storage

Clean up ("Expunge") Inbox on Exit check box: (POP accounts only) When a message is deleted, its original on the server is merely marked as deleted. Enable this setting to remove messages marked as deleted from the inbox on the server.

Empty Trash on Exit checkbox: if this setting is enabled, the application will empty your Trash folder when you exit the application.

Message Store Type list: this setting determines whether the application saves mail folders locally in single files (for example, there is a file named Inbox) or saves each message in a separate file. This parameter is defined when the account is created.

Local Directory field: the location where the application stores messages for the account. If you want to store messages for the account in a separate location, select the desired directory using the Browse button.
