Auto-reply is a feature that automatically sends replies to incoming emails. It is useful in situations where you are absent or unable to respond to emails in a timely manner.

Auto-reply, configured in the desktop application, works only when the application is running and connected to the Internet. If you need server-level auto-reply (for example, to send auto-replies even if the application is closed), configure auto-reply through the Mailion application interface.

In the desktop app, auto-reply can be customized through a combination of filters and templates. To do this, you need to create a template for the auto-reply message, and then set up and enable a filter to automatically send a reply to incoming emails.

Create a message template for an auto-reply

To create a message template to be used for auto-reply:

1.Compose a new message:

a.On the Mail tab, click New Message. The Message Composition Window opens.

b.In the Subject field, enter an understandable subject, such as: "Auto-reply: I'm out of the office."

c.In the body of the email, add text such as: "Thank you for your message. I am currently out of the office and cannot respond to your request. I will return on [date] and process your email as soon as possible. If your issue is urgent, please contact [contact person + contact info].

2.Save the message as a template by selecting File > Save As > Template.

The message will be saved in your account's Templates folder, where it can also be edited.

Customize the filter to automatically send a reply

To set up a filter to automatically send a reply to incoming messages:

1.From the ☰ MyOffice Mail menu, choose Tools > Message Filters. The Message Filters window opens.

2.In the Filters for list, select the account for which you want to configure an auto-reply.

3.In the right pane, click New. The Filter Rules window opens.

4.Enter a Filter name, for example Autoreply.

5.Customize the conditions for applying the filter:

a.In the Apply filter when check box, select the Getting New Mail check box.

b.If you want to send an auto-reply with no conditions, select the Match all messages option.

c.If you want to send a response to Match all of the following or Any of the following conditions, select the appropriate option and configure the desired conditions.

6.Customize the action to send the template:

a.In the Perform these actions area, from the list on the left, select Reply with Template.

b.In the list in the center, select the template you created.

7.Click OK to save the filter settings.

A filter will be created that will automatically send your template message in response to incoming emails.

You can edit the filter using the Edit button in the Message Filters window.

Turn off auto-reply

To turn off sending an auto-response:

1.In the Message Filters window, select the auto-reply filter.

2.In the Enabled column, uncheck the box.

Auto reply will be disabled.
