Tags are color or text markers that you can assign to any email in your mailbox to categorize it. By default, the app provides several preset tags, such as:
–Important (red tag);
–Work (orange tag);
–Due (blue tag);
–Pending (purple tag).
Each of the tags is color-coded so that you can quickly visually recognize tagged messages in the Message List and Message View Area. You can also create your own custom tags with individual names and colors.
Tags can be used to automate your mail using filters. This is useful if you want to automatically tag certain emails (see below).
Assign a tag to an email
To tag messages:
1.On the Mail tab, in the Message List, select one or more messages .
2.From the message context menu, select Tag, and then select the desired tag.
The text in the message line will be highlighted in the color of the selected tag and, if the Message List is displayed as cards, a colored marker corresponding to the selected tag will appear.
You can also assign a tag to the selected message in the following ways:
–From the Main Menu, select Message > Tag, and then select the desired tag.
–Press the number key that corresponds to the tag, from 1 to 9. You can find the tag number using the Tag option on the context menu of any message.
Remove tags from messages
To remove tags from one or more messages:
1.Select one or more messages in the Message List.
2.From the context menu of the message, select Tag > Remove All Tags.
You can also unmark selected messages in the following ways:
–From the Main Menu, select Message > Tag > Remove All Tags.
–Press the number 0 key.
Create a tag
If the preset tags are not enough for your work, you can add your own tags.
To create a new custom tag:
1.In the Message List, from the context menu of any message, select Tag > Manage Tags. This opens the Settings tab and the General > Tags section.
2.Click the New button to the right of the tag list. The New Tag window opens.
3.Enter a Tag Name and select a tag Color.
4.Click OK.
The new tag appears in the tag list and you can assign it to messages.
Edit a tag
To edit a tag:
1.In the Message List, from the context menu of any message, select Tag > Manage Tags. This opens the Settings tab and the General > Tags section.
2.From the list of tags, select the desired tag.
3.Click the Edit button to the right of the list of tags. The Edit Tag window opens.
4.Change the Tag Name or tag Color.
5.Click OK.
The tag properties will be changed (including for already tagged messages).
Delete a tag
You will delete a tag immediately after clicking the Delete button. You will not be able to restore a deleted tag.
To delete a tag:
1.In the Message List, from the context menu of any message, select Tag > Manage Tags. The Settings tab opens, and the General > Tags section opens.
2.In the tags list, select the desired tag.
3.Click the Delete button to the right of the list of tags.
The tag is removed from the tags list and from the tagged messages.
Customize filters for automatically tagging emails
You can set up a filter, for example, to automatically mark all messages from your manager as Important.
To create a filter to automatically mark incoming emails:
1.From the ☰ MyOffice Mail menu, select Tools > Message Filters. The Message Filters window opens.
2.Click the New button. The Filter Rules window opens.
3.Enter a Filter Name, for example, Emails from boss.
4.In the Apply filter when section, select the Getting New Mail checkbox.
5.In the conditions section, customize the condition for applying the filter, for example, From — contains — [supervisor's address].
6.In the actions section, select Tag Message and select the desired tag from the list, for example, Important.
7.Click OK to save the filter.
Incoming e-mails matching the specified criteria will be automatically marked with the selected tag.
Filter messages in the list by tag
You can use the Quick Filter Bar to view messages that have been tagged.
To filter messages in the list by tag:
1.If the Quick Filter Bar is hidden, click the Quick Filter button at the top of the Message List.
2.In the Quick Filter Bar, click . Messages that contain at least one tag will remain in the Message List. If there are no such messages, the list will be empty.
3.If desired, set up an additional filter by selecting the Any of or All of condition and select one or more tags to filter the list by specific tags.
The list will be filtered by the configured conditions.
You can cancel filtering by tags by clicking the button on the Quick Filter Bar again.
Sort messages in the list of messages by tags
To sort messages in the Message List by tag:
1.Enable the display of the Message List in Table View by selecting the appropriate item from the menu in the upper right corner of the Message List.
2.Add a Tag column to the table by selecting the appropriate menu item from the menu in the upper-right corner of the Message List.
3.Click the title of the Tag column.
The taged messages will be moved to the beginning or end of the Message List.
You can cancel sorting by tags by clicking any other column heading, such as Date.
