Formatting (font, color, size, paragraph alignment, etc.) can be quickly copied from one part of a document and applied to another. The copied formatting can also be pasted into other applications.

Tools

You can use the tools CopyFormat Copy formatting and Eraser Clear formatting on the Home tab, in the Edit group.

What formatting can be copied

Text formatting: font, size, color, bold, italic, etc.

Paragraph formatting: alignment, line spacing, indentation, etc.

Preparing the content

Before using the tool, determine what you want to copy:

To copy text formatting, select a piece of text or place the cursor in it.

To copy paragraph formatting, position the cursor inside the desired paragraph.

Copy formatting using hotkeys

1.Copy formatting:

a.Select the text or position the cursor within the paragraph with the desired formatting.

b.Press the keyboard shortcut Ctrl+Shift+C (Cmd+Shift+C).

2.Apply the formatting:

a.Select the content to which you want to apply the style.

b.Press the keyboard shortcut Ctrl+Shift+V (Cmd+Shift+V).

Copy formatting with the button

1.Copy formatting:

a.Select the text or position the cursor in the paragraph with the desired formatting.

b.Click the CopyFormat Copy formatting button. The cursor will take on the appearance of a brush.

2.Apply formatting:

a.Select the text, paragraph, or multiple paragraphs to which you want to apply the style. The formatting will be applied immediately.

b.To exit the apply mode, press the Esc key or click CopyFormat Copy formatting again.

If you want to apply the formatting to several non-contiguous fragments, double-click the CopyFormat Copy formatting button — it will remain active and you can apply the style to any fragments sequentially. To exit the mode, click the button again or press Esc.

Clear formatting

1.Select a text fragment. To clear the formatting of an entire paragraph, position the cursor anywhere within it.

2.Use one of the following methods:

Click Eraser Clear formatting.

From the context menu, select Clear formatting.

Press the keyboard shortcut Ctrl+Space (Cmd+Space).
