With filtering, in a document with a large number of changes and comments from different reviewers, you can customize the display of:
–Edits (changes and/or comments) from the selected reviewers.
–Edits by type:
•Changes: adding, deleting and/or formatting data.
•Comments.
To open the Filter changes and comments window, do one of the following:
–On the Review tab, click
Filter changes and comments.
–On the Review tab, click the arrow to the right of the
Filter changes and comments button and run the Filter changes and comments command.
–When working in macOS, run the Tools > Display changes and comments > Filter changes and comments command from the command menu.
To select one or more reviewers whose comments and/or changes should be displayed in the document, follow the steps below:
1.In the Filter changes and comments window, clear the Select all checkbox.
2.Select the checkboxes of the required reviewers.
3.If the list contains a large number of reviewers, use the search bar:
•Enter part of the name or the full name of the reviewer in the search bar.
•In the search results, check the box for that reviewer.
•Repeat if necessary to find and check other reviewers.
By default, the document will display all comments and changes from the selected reviewers as the following checkboxes are selected in the Filter changes and comments window:
–Comments: Display all comments from selected reviewers.
–Changes: Display the following changes of selected reviewers:
•Added: Display data added to the document text.
•Removed: Display data deleted from the document text.
•Formatted: Display data for which the formatting has changed.
If necessary, clear the check boxes for comments and/or changes that do not need to be displayed in the document and click OK.
The document will display a banner with the message: “Changes and comments filtered. Changes: n of N. Comments: m of M”, where: n and m are the number of comments and changes currently displayed in the document, and N and M are the total number of comments and changes in the document. To hide the banner, click
in it.
To change the filtering settings:
1.Open the Filter changes and comments window using one of the methods described above.
2.Change the filtering parameters as described above.
3.Click OK.
To return to displaying changes and comments from all reviewers, in the Review tab, click the arrow to the right of the
Filter changes and comments button and run the Clear filter command.
When the document is set to filter comments and changes:
–The Accept all changes and Reject all changes commands apply only to the changes visible after filtering.
–The Delete all comments command applies only to comments visible after filtering.
