Change data number format
Number formats determine how data is displayed in cells without changing their original value. This is important for correctly displaying units of measurement (such as currency, percentages) and for correct calculations in formulas.
You can change the format of a cell or range in the context menu, as well as on the Home tab, in the Number format group.
Change the number format of data in cells
- Select the desired cells.
- In the context menu, select Number format.
- Select the appropriate number format and configure it.
You can also:
- Quickly apply a format using the ₽ Currency and % Percentage buttons in the Number format group.
- Select a format from the drop-down list in the Number format group.
Increase or decrease the number of decimal places
- Select the desired cells.
- Change the data format of the cells to Number, Currency, Financial, Percentage, or Scientific.
- In the Number format group, click the
Increase decimals or
Decrease decimals button.
When you decrease the precision, the number in the cell is rounded according to mathematical rules, but the original value is used for calculations.
Description of number formats
The description of number formats is given in the table below (table). See also Supported functions.
| Format | Purpose | How to use | Features |
|---|---|---|---|
| General | Displays data in its original form without special formatting. Used by default | Set automatically for new cells Drop-down list Context menu | The application automatically determines the data type. Fractional numbers are displayed without insignificant zeros. If there is not enough space, the number may be rounded for display, but it is shown in full in the formula bar |
| Number | Work with regular numbers with precise display control | Drop-down list Context menu | Settings are available for the decimal separator, number of decimal places, and negative number format (e.g., -123, (123), red color). |
| Currency | Display of monetary amounts | Button on the toolbar Enter a number with a currency symbol Drop-down list Context menu | Settings are similar to the number format with the addition of a field for selecting a currency symbol or code ($, €, USD) |
| Accounting | Performing accounting calculations and preparing reports | Drop-down list Context menu | Differs from the Currency format in that the currency symbol is aligned to the left and negative numbers must be displayed in parentheses. |
| Percentage | Displaying numbers as percentages. The value is automatically multiplied by 100. | Toolbar button Drop-down list Context menu | The % sign is added to the number. The number of decimal places displayed can be configured. |
| Fraction | Numbers are displayed as fractions (e.g., ¼ instead of 0.25) | Drop-down list Context menu | Allows you to select the type of fraction, for example, "one digit" (½) or "two digits" (25/100) |
| Scientific | Displaying very large or small numbers in a compact form (e.g., 5.60E+03) | Drop-down list Context menu | Specifies the number of decimal places for the mantissa |
| Date and time | Correct display of dates and times | Entering date- or time-like data Drop-down list Context menu | Dates are stored as numbers (serial numbers), which allows them to be used in calculations. You can select a locale-independent format |
| Text | Interpretation of cell content as text | Drop-down list Context menu | Numbers are aligned to the left and are not included in mathematical calculations. Ideal for phone numbers, codes with leading zeros |
